TRIP PLANNING

Group Travel Checklist

A practical checklist to help keep passengers, transportation, schedules and trip details organized from the first plan to the final return.

Group travel planning materials, itinerary and checklist

Start With One Complete Trip Plan

Group travel becomes much easier when the essential information is kept in one place. Start with the travel dates, passenger estimate, major locations and schedule, then add details as they are confirmed.

This checklist focuses on the transportation side of group travel while also covering the passenger and itinerary information that can affect your vehicles and schedule.

Keep it simple

You do not need every detail on day one. Begin with what you know, mark what is still pending and update the same master plan as the trip develops.

STEP 1

Confirm the Trip Basics

  • Travel dates. Include arrival, departure and any days requiring local transportation.
  • Primary destinations. Identify hotels, venues, airports, campuses, attractions or other major locations.
  • Purpose of the trip. A conference, tour, wedding, sports trip or private event may require a different transportation plan.
  • Approximate schedule. Note the major arrival, event and departure times even if they are not yet final.

STEP 2

Organize Passenger Information

Passenger Count

Keep the estimated count current and confirm the final number as the trip approaches.

Luggage & Equipment

Consider suitcases, sports equipment, instruments, presentation materials or other cargo.

Accessibility

Identify mobility and accessibility requirements early so appropriate transportation can be arranged.

STEP 3

Build the Transportation Plan

  • Choose appropriate vehicle capacity. Match the fleet to passengers, luggage and trip type.
  • List every transportation movement. Include airport transfers, hotel shuttles, venue trips and return service.
  • Allow realistic travel time. Consider loading, traffic, parking and group boarding—not only driving time.
  • Identify the group coordinator. Choose one person who can communicate transportation information to the group.
  • Review special requirements. Include accessibility, equipment, multiple pickup points or other important needs.

STEP 4

Check Every Stop on the Itinerary

For Each Location

Make sure the itinerary contains enough information for the transportation plan to work smoothly from one stop to the next.

Confirm:

  • Correct street address
  • Pickup or loading location
  • Scheduled arrival time
  • Scheduled departure time
  • Expected passenger movement
  • Venue or event instructions

TRIP DAY

Keep These Essentials Handy

  • Current itinerary. Use the final version rather than an older draft.
  • Passenger information. Have an appropriate way to account for your group before departures.
  • Important contacts. Keep transportation, hotel, venue and group-leader information accessible.
  • Pickup instructions. Make sure passengers know exactly where and when to meet.
  • Schedule updates. Communicate meaningful changes promptly if the day's plans shift.

One Last Tip: Share the Right Information

The master itinerary may contain details that every traveler does not need. Give passengers a simple version with meeting points, departure times, destinations and the contact information relevant to them, while the group coordinator keeps the complete transportation plan.
